Repeating Appointments 101

To create a recurring appointment in Outlook, follow these simple steps:

  1. Start by creating a new appointment. You can do this by switching to the Calendar view and clicking on the New Appointment button on the toolbar.
  2. Fill in the Subject and Location fields for the reminder.
  3. Look for the large Recurrence button on the toolbar and click on it. A dialog box will appear to set the repeating options.
  4. Choose a Start and End time for the appointment or select a Start time and Duration. The end time will adjust accordingly.
  5. Select a Recurrence Pattern - Daily, Weekly, Monthly, or Yearly.
  6. Customize the options based on the chosen pattern, such as selecting the days of the week for a weekly appointment.
  7. Specify the Range of Recurrence - whether it should repeat indefinitely, end after a certain number of appointments, or end on a specific date.
  8. After setting the desired options, click OK to save the appointment.

Repeating or recurring Outlook Appointments

Once saved, the appointment will appear on the calendar with a twin circular arrow icon, indicating that it's part of a series. You can easily modify the entire series or individual occurrences by double-clicking on the appointment.


Inevitably, there will be occasions when one or more appointments in a recurring series need to be modified. Outlook allows you to make changes to specific occurrences without affecting the entire series.

To modify a single appointment in a series, follow these steps:

  1. Double-click on the appointment you want to change.
  2. Choose the 'Open this occurrence' option. This will only modify the selected occurrence without impacting the rest of the series.
  3. Make the necessary changes to the time, date, or any other details of the appointment.
  4. You can even delete a single occurrence if needed.

Time Zones

Recurring appointments can be set for any time zone, making them flexible for various scenarios. For example, you can schedule online meetings hosted from different time zones or set reminders for your favorite radio or TV programs from other countries.

Medication Reminders

Outlook can be a valuable tool to remind you to take medication regularly. By creating recurring daily appointments, you can ensure you never miss a dose.

To set up a medication reminder:

  1. Create a daily recurring appointment, with a repetition interval of 1 day.
  2. Set the Start time to when you need to take the medicine and set the duration to '0 minutes' to align the End time with the Start time.
  3. Enable the reminder feature and set the reminder time to '0 minutes' (unless you prefer to be reminded earlier).

For medications that need to be taken multiple times a day, you will need to create separate daily recurring appointments for each dosage time.


If you prefer to keep certain appointments private, Outlook offers a convenient 'Private' flag. By marking an appointment as private, you can prevent it from appearing in shared calendars or cluttering up your daily view.

To flag an appointment as private:

  1. Open the appointment dialog box.
  2. Locate the checkbox in the bottom right corner indicating 'Private'.
  3. Check the box to mark the appointment as private.

Moreover, you can customize your Outlook view to exclude private appointments from the normal display. By filtering the view based on sensitivity, you can maintain your privacy effortlessly.

Birthdays and Anniversaries

Recurring appointments can also be used to remember birthdays and anniversaries. Outlook automatically creates all-day recurring events for contact birthdays and anniversaries when you enter the respective dates in their contact information.

You can also manually create annual reminders for non-contact-related events or personal milestones. For instance, you can commemorate the anniversary of a loved one's passing or celebrate the date you met your significant other.

Please note that the default reminder time for these automatically created events is set to 15 minutes. If you prefer a longer heads-up, you can easily adjust the reminder time by editing the entire series.
